Configure Keywords (Research Topics) in S1M

Configure keywords in ScholarOne so that you can use them to configure the Research Topics additional information questions in Author Portal.

About this task

In ScholarOne, keywords are equivalent to Author Portal research topics. A collection of keywords is an attribute type and individual keywords are attributes of that type. You can use a collection of keywords to configure two different types of additional information questions in Author Portal, both titled Research Topicsthe Research Topics additional information question in Author Portal.
Note: ScholarOne keywords and Author Portal research topics are not to be confused with the two Author Portal additional information questions that are both titled Keywords. The Author Portal Keywords questions do not use data from ScholarOne.

Procedure

  1. In S1M, click Support > Configuration Center.
  2. Click Configure This Site.
  3. Click step 5, Attributes.
  4. To create a new attribute type (collection of keywords/research topics), do the following:
    1. Locate the Add/Edit Attribute Type section and fill in the fields as follows:
    2. Enter a Name for the collection of Author Portal research topics keywords.
      The name you enter in this field is the one that will be displayed in Author Portal.
    3. In the Submission Group field, select the submission groups for which the collection should be applied.
    4. Under Hierarchical Attributes, you can select one of the available values to change how the Research Topics (Structured Keywords) additional information question will be displayed for submitters in Author Portal:
      If you select No restrictions on selections, in Author Portal, the submitter will be able to choose any of the keywords, regardless of their place in the hierarchy:

      If you select Allow only leaf selections, in Author Portal, the submitter will be able to choose only topics that do not have sub-topics:

      If you select Restrict only top most hierarchy, in Author Portal, submitters will be able to choose any topic except for those that do not have a parent topic:

    5. Check the associate with documents box, and set the minimum to 0 and the maximum to 10.
    6. Click Save to save the attribute type.
  5. To edit an existing attribute type (collection of keywords/research topics), do the following:
    1. Click the edit icon in the Edit Attribute Type column.
    2. Update the attribute type as required by configuring the fields described above.
    3. Make sure the Attribute Type Name is the same as the one used in Author Portal Submission, for example, Keywords.
    4. Click Save to save your changes.
  6. To add or edit attributes (keywords/research topics) to an attribute type (collection of keywords/research topics), do the following:
    1. For the required attribute type, click the icon in the View / Edit Attributes column.
      The Edit Attributes window will open.
    2. In the new window, locate the Current Attributes List section.
    3. To add a new attribute (keyword/research topic), fill in the blank field in step 2, Add Child named, then click add.
    4. To edit or delete an attribute, or to create parent-child relationships between attributes, use the corresponding options under the Current Attributes List section.
    5. Click Save.
    6. Click Close Window.
  7. To export a CSV file with a list of attributes (keywords/research topics) to use for Research Topics (Controlled Keywords) additional information question, do the following:
    1. For the required attribute type, click the icon in the View / Edit Attributes column.
      The Edit Attributes window will open.
    2. In the new window, locate the Export/Import Attribute Names and Order section.
    3. Click Export.
      A CSV file named export.csv will be downloaded to your device.
    4. Click Close Window.
    Note: You must perform the steps above, exporting the CSV file from ScholarOne and re-importing it into Author Portal, each time changes are made to the list of attributes in ScholarOne. This is to avoid mismatches when submissions made using Author Portal are ingested in ScholarOne. To avoid the risk of mismatches altogether, it is strongly recommended that you configure journals in Author Portal to use the Research Topics (Structured Keywords) additional information question instead.
