Configure File Designations in S1M

Configure the file designations for Author Portal, making sure that the file designation names that you have configured in S1M match exactly the file designation names in the Author Portal configuration.

Before you begin

You must have access to the S1M Configuration Center to perform this task.

About this task

Make sure that the attribute group name displays as File Designation.
Important: File designation names in ScholarOne must match those in Author Portal exactly, including capitalization and spacing, or there will be a mismatch when submissions made using Author Portal are ingested into ScholarOne. Take particular care that no unnecessary trailing spaces appear in the ScholarOne File designation names.
Author Portal sends the following File Designations to S1M:
  • Title Page
  • Main Document
  • Main Document - LaTeX
  • Main Document - MS Word
  • Main Document - Tracked Changes
  • Figure
  • Table
  • Author Response
  • Supplementary Material for Review and Publication
  • Supplementary Material for Review but not for Publication
  • Supplementary Material not for Review and not for Publication
  • LaTeX Supplementary File
  • Forms
  • Graphical Abstract Image
  • Graphical Abstract Text

Procedure

  1. In S1M, click Support > Configuration Center.
  2. Click Configure This Site.
  3. Click step 5, Attributes.
  4. If the File Designation attribute does not already exist, do the following to create it:
    1. Scroll down to the Add/Edit Attribute Type section.
    2. In the Name: field, enter File Designation.
      Important: Enter File Designation exactly as shown and not, for example, as file designation.
    3. In the Submission Group: field, select all submission groups.
      Hold the ctrl key and click to select multiple submission groups.
    4. In the Order: field, enter a number to specify the order of the File Designation attribute relative to the other attributes.
    5. Click Save.
  5. To add a new file designation, do the following:
    1. In the first table on the page, click the icon under the View / Edit Attributes column for the File Designation row.
      The Edit Attributes window will open.
    2. In the Edit Attributes window, scroll to the Current Attributes List section.
    3. Ensure that no file designation name is selected in the list on the left.
    4. Under Attributes Maintenance Options:, step 2, enter the file designation name in the blank field after Add Child named.
    5. Click add.
      The Edit Attributes window will reload, and the new file designation will be included as the list item in the Current Attributes List.
    6. To change the order of the new file designation in the list, click the file designation name in the list to highlight, then use the Select... dropdown under Attributes Maintenance Options:, step 3, to select which list item the new file designation should follow, and click move.
    7. Click Save.
    8. Click Close Window to close the Edit Attributes window.
  6. To delete an existing file designation, do the following:
    1. In the first table on the page, click the icon under the View / Edit Attributes column for the File Designation row.
      The Edit Attributes window will open.
    2. In the Edit Attributes window, scroll to the Current Attributes List section.
    3. Click the name of the file designation to delete so that it is highlighted in the list.
    4. Under Attributes Maintenance Options:, step 1, click Delete Attribute.
      The Edit Attributes window will reload, and the file designation will not be included in the Current Attributes List.
    5. Click Save.
    6. Click Close Window to close the Edit Attributes window.
  7. To edit existing file designations, do the following:
    1. In the first table on the page, click the icon under the Edit Attribute Type column in the File Designation row.
      The page will reload.
    2. Scroll to the table that has File Designation as its first column.
    3. Configure a file designation by checking or unchecking the required boxes in the appropriate row.
      For example, to ensure that ScholarOne treats title pages as supplemental files not for review, ensure that the box under the Supp. Files not for Review column is checked in the Title Page row.
    4. If you want to configure the journal in Author Portal to require that submitters provide a label and/or description for uploaded files of this type, click the Image box for the required file desgination.

      You can require that submitters provide labels and/or descriptions for the following base file designations:

      • Figure
      • Table
      • Supplementary Material for Review
      • Additional File for Review but not for Publication
      • Supplementary Material Not for Review
      • Embedded Video
      • Embedded Audio
      • Graphical Abstract Image
      • Cover Image
      • Supplementary Zip Bundle
      When ScholarOne and Author Portal are configured accordingly, you can view the label and description provided by the submitter in ScholarOne by doing the following:
      1. In the Admin Dashboard > Awaiting Admin Checklist tab, click View Manuscript Files from the Take Action dropdown for the required manuscript.
      2. Under Manage Manauscript Files, click Edit Details for the required file.

      A new File Details window opens, and you can view the file label in the File Tags field, and the file description in the Caption / Legend field.

    5. Click Save.
