How to test or validate a new Author Portal site?

Journal staff are encouraged to test that the Author Portal site meets their requirements prior to migration.

What to test?

A good way to test an Author Portal site is to follow the author workflow and submit a sample manuscript. During submission, confirm that the following meet your requirements:

  • Article types
  • Submission requirement questions
  • File designations
  • Additional information (custom) questions

Article types

When submitting a manuscript, the first step the author is prompted to complete is to select the article type. Confirm that the list of available article types meets your requirements.

For each article type, check the areas described in the following sections.

Submission requirement questions

When an author selects an article type, they are then prompted to respond to a series of submission requirement questions before they can proceed. Confirm that the expected questions are displayed for each article type.

File designations

The next step is for the author to upload the manuscript file(s). Confirm that the available file designations are the expected ones for each article type.

Additional information (custom) questions

Once the author has uploaded the manuscript file(s) and completed certain confirmation steps, they will be prompted to provide additional information about their work, such as to specify if their data is available. Confirm that these additional information, or custom, questions are the expected ones for each article type.

Example Testing and Validation Steps

  1. Log in as an author to https://{publisher}.atyponrex.com/journal/{journal}, where {publisher} is your Author Portal publisher code and {journal} is the journal code. On this page, create one or more new submissions.
    Note: In a later step, in ScholarOne, it is recommended to test as many decision types as possible. Consider creating a separate submission in Author Portal for each decision type you plan to test later in ScholarOne.

    Try to simulate a real submission as much as possible; add all optional file designations, and answer all optional questions.

    When you finish this process, click Complete my submission and return to your author dashboard. The status for each new submission you made should be Submitted.

  2. Go to the Author Portal Admin Tool, https://{publisher}.atyponrex.com/admin and click Submissions.

    The list of submissions is ordered by most recent first, so unless there have been multiple recent submissions, yours will be at, or near, the top. Alternatively, you can use the Advanced search > User name or email field to search for the submission(s) you just made by user name.

    The status of each submission should be Submission Pending. Once the status changes to Submitted, this means that the submission has been ingested into ScholarOne. It can take approximately 15 minutes for the submission status to be updated. If the status changes to Submission Failed with a flag of Failed by timeout you do not need to do anything; this status should clear in another 15 to 30 minutes. If it does not clear after a reasonable period of time, there is probably an issue with the way notifications have been configured on ScholarOne.

  3. Once the submission status changes to Submitted in the Author Portal Admin Tool, log in as an administrator on the corresponding ScholarOne site.

    Locate the submission on Manage > Admin Center > Admin Lists > External Submission in Draft.

    Click Proxy to Submit, and proceed through the ScholarOne submission process, imitating the steps an author would take if making a submission directly in ScholarOne.

    Review every submission step. Make sure that the appropriate fields have been automatically populated with the information provided while making the submission in Author Portal. As an author, you should not be required to manually fill in any field in ScholarOne. The exact aspects of the ScholarOne submission process you will check will vary depending on how you configured the journal in Author Portal. However, regardless of the journal's Author Portal configuration, make sure to check the following:

    • Article Type
    • File designations for each uploaded file
    • Funding information
    • Author information

    Assuming everything is configured correctly, the only thing that should be necessary is to click Submit on the final, Review and Submit, screen.

  4. End the author proxy session. As an administrator, from the Admin Checklist queue, locate the submission.

    Review the Manuscript Details screen for each manuscript submitted through Author Portal, particularly the Submission Summary information under the Custom Questions link to make sure everything is as expected.

    Review the Manuscript Files tab to make sure all the attached files are as expected.

  5. Make decisions for the submission(s). Test all the decisions supported by the journal, for example:

    • Reject from checklist
    • Accept
    • Revise
    • Reject with Resubmit
    • Reject
    • Rescind and make a new decision.

    After each decision, check the status of the submission from the Submissions tab of the Author Portal Admin Tool to make sure that the status in Author Portal corresponds to the status in ScholarOne. You can click Check S1M Status for the submission to show the statuses of the two systems side by side.
