Configure S1M to Automatically Export Submissions to TechRxiv

You can configure ScholarOne to automatically export submissions to TechRxiv hosted on Authorea.

Before you begin

You must have access to the S1M Configuration Center.

Procedure

  1. In S1M, click Support > Configuration Center.
  2. Click Configure This Site.
  3. Click step 6, Custom Questions.
  4. Click Advanced View.
  5. Under Details Group Name, select aptest-ieee...TechRxiv from the copy from another site: dropdown.
    Note: When you click the copy from another site: dropdown, it may take a few seconds to display the available options.
  6. Click Go.
  7. Under Detail Group Properties, locate the row where the Detail Name is TechRxiv and click the button in the Edit column.
  8. Under Details Group Name, select DEFAULT and Author Portal in the Submission Group: field.
  9. Click Go.
  10. Optionally click Dependencies to add a dependency.
  11. Click Manage > Production Coordination Center.
  12. Under Production Coordinator Tools and Exports, click Batch.
  13. Under Add a Batch, do the following:
    1. In the Name of Batch: field, enter Authorea.
    2. In the Timing: field, select Daily.
      Note: ScholarOne will later change this value to real time.
    3. Under Target, select the option for Original Files & Metadata (zip file with metadata, manifest, DTD (if applicable) and only original files marked for export. The PDF Proof is not included).
    4. From the Select Location: dropdown, select SFTP.
    5. In the SFTP field, enter sftp://sftp.atypon.com/authorea/ieee/scholarone
    6. In the User ID: field, enter authorea-techrxiv
    7. In the Password: field, enter glafNohertOrshub
    8. Ensure that Format: is set to XML (ScholarOne DTD)
    9. Ensure that Available: is set to Always
    10. Click Add.
      Important: Do not use this batch before ScholarOne sets the batch timing to real time.
  14. Contact ScholarOne and request that the timing for the Authorea batch be set to real time.
  15. Click Support > Configuration Center > Configure This Site.
  16. Click step 7, Workflow Configuration.
  17. Click Edit Workflow for Submitted Manuscript Workflow.
  18. From the left pane, locate the Assign to Batch task and drag and drop it into the right pane.
    The Edit Task window will open.
  19. In the Edit Task window, enter Export to Authorea in the Name: field.
  20. Click Save.
  21. In the right pane, do the following:
    1. Click the icon to create a link for the Admin Checklist task.
    2. With the above button clicked, drag and drop the cursor over the Export to Authorea task. so that it becomes outlined in red.
      A line will be displayed, pointing from the Admin Checklist task to the Export to Authorea task. The Export to Authorea task will be outlined in red. The Link Type window will open.
    3. In the Link Type window, ensure that Required is selected, and click Ok.
  22. Click Save.
    The Information window will open.
  23. Click Ok to confirm and close the Information window.
  24. Click Submitted Workflow.
  25. Select Resubmitted.
  26. Repeat the steps to set up an Export to Authorea task for the Resubmitted Workflow.
  27. Click Configure This Site.
  28. Click step 8, Task Configuration.
  29. Under Submitted Manuscript Workflow, locate the row with Export to Authorea / no performer in the Task Name / Performer column.
  30. Click the icon in the Edit column.
    A new window will open.
  31. In the new window, under Task Performers and Who Can Perform, select Admin from the select a role: dropdown.
  32. Click the icon under Add/Delete.
    The Admin role is added under Task Performers.
  33. Under Task Details and Name, select Authorea.
  34. Click the plus icon (+) next to Authorea.
    Authorea will be added under Name.
  35. Click Save.
  36. Close the window.
  37. Repeat the steps to configure the Export to Authorea task for the Resubmitted Manuscript Workflow.
  38. Click step 9, Manuscript Lists.
  39. Under Add a Manuscript List, do the following:
    1. In the Name: field, enter Awaiting Export to Authorea.
    2. In the Visible to: field, check the Admin box.
    3. From the Task: dropdown, select Export to Authorea(ORIG).
    4. In the Status: field, press Ctrl and click to select Pending, Processing, and Overdue.
    5. Click the Add button that is to the right of the Status: field.
  40. Repeat the steps above to add the Export to Authorea(RES) task.
  41. Click the Add button that is in the bottom right of the Add a Manuscript List section.
  42. Click step 10, Dashboard.
  43. From the Select a Role dropdown, select Admin.
  44. Edit the values under the Order column so that the value for the Awaiting Export to Authorea row is greater than the corresponding value for the Awaiting Admin Checklist row.
    For example, set the Awaiting Export to Authorea value to 1 and the Awaiting Admin Checklist value to 0.
  45. Click the Save button for the Dashboard Queue Name section.
    The tasks will be re-ordered so that Awaiting Export to Authorea will appear after Awaiting Admin Checklist.
  46. Click Configuration Dashboard.
  47. Click Flush Cache.

Results

Click Manage > Admin Center.

Under Admin Lists, a new step is added, Awaiting Export to Authorea.
