Virus Found
The submission fails with ScholarOne error code 1
.
Why it happens…
A virus is detected in one or more files uploaded by the submitter. In some cases, the error may also be thrown when file sizes exceed 20 MB. In either case, the files need to be removed from Author Portal and replacement files uploaded and the submission resubmitted.
To resolve
- Locate the submission in the Submissions tab of the Author Portal Submission Admin Tool.
- Click the submitter's name in the Submitted By field to view their email address and make a note of it.
- Click Actions, then Return to
draft, or Return to [previous state],
which will make the submission editable by the submitter.Note: The submission will no longer be listed in the Failed queue once it has been returned to draft.
- Click Proxy Author to edit the submission.
- Navigate to the Upload Manuscript step.
- Delete all existing files. It is not possible to determine which file caused the virus alert, so to discourage the author from resubmitting the same infected files again, delete them all.
- Click Return to Administrator view to end the proxy.
- In the Submissions tab, click View/Add comments and add a comment to the submission to summarize what you did, who you contacted, etc. Click Add Comment to save the comment.
- Provide the Editorial Office with the submitter's email address you noted in an earlier step. Work with them so that they contact the submitter to advise them of the situation. Ask them to return to Author Portal and upload new, virus-free files.
- Once the submitter has been contacted, this issue can be considered resolved
Note: When the submitter supplies new files in Author Portal and completes their submission, a
new package will be sent to S1M.
Assuming the files don’t trigger the virus scanner again, this submission will
resume the normal workflow.
