Administrative User Levels

The level of administrative access depends on the user’s permissions.

Author Portal permission levels are as follows:
User Level Permissions
Super User Can access all tenants/publishers.
Tenant/ Publisher Super User Can access all publications for a specific publisher.
Publication/ Journal Administrator Can access all assigned publications for a certain tenant publisher.
Submissions Admin For assigned publications, can access submissions, proxy as an author, and take submission-related actions.
Submissions Viewer Can view submission information for assigned journals but cannot make changes.
External Submissions Admin Similar to the Submissions Admin role, with the following differences:
  • Cannot perform actions related to resolving submission failures, including Return to draft/revision, Resubmit/Resubmit as New, or Resolve.
  • The Submission Failed submission state is displayed as Admin Processing.
  • When filtering submissions to those with a state of Admin Processing (failed submissions), the Failure type filter and count of failed submissions is not displayed.
  • When hovering over the red flag icon on a submission record, the tooltip text displayed is Contact IEEE, as opposed to the submission failure type.
Note: Up to 300 journals can be assigned to a single Journal Administrator.

To request Tenant/ Publisher Super User permissions, contact your account manager. To request any other level of permissions, you can also contact a Tenant/ Publisher Super User. Provide the email address of the Author Portal account for which the permissions should be granted.

The hierarchy of user roles and their permissions in Author Portal is cumulative. For example, the Submission Administrator role includes all the permissions of the Submission Viewer role, and the Journal Administrator role includes all the permissions of both the Submission Viewer and Administrator roles. Refer to the following table for more details regarding the permissions per role.
