Author Portal Transfer Administrator-Initiated Import User Guide
This user guide includes workflow instructions about how Administrator users with the Transfer Admin role can use the Author Portal Transfer service within a Tenant's portfolio of journals to manually import a rejected manuscript from any journal using ScholarOne Manuscripts and transfer it to any journal using Author Portal (Author Portal).
Start a Submission Transfer
There are two modes of import available to transfer a rejected submission to Author Portal, Import via ID or Import via File.
Import via ID
This submission import mode automatically retrieves all submission files and metadata, as well as any available peer review reports, from ScholarOne.

    Users with a Transfer Admin role or a Tenant Super User role with the appropriate permissions assigned can access the Author Portal Transfer application.

      Whether importing a submission via ID or via file, Author Portal Transfer automatically extracts files from the submission package and checks the ScholarOne submission API to validate if the submission is eligible for transfer.

    Regardless of the submission import mode selected, you must review the details in the transfer ticket in order to resolve any potential discrepancies before completing the transfer and inviting the author to complete their new submission to the destination journal.

Import via ID

This submission import mode automatically retrieves all submission files and metadata, as well as any available peer review reports, from ScholarOne.

Before you begin

You must start a submission transfer from the Author Portal Transfer Admin Dashboard.

Procedure

Import via ID is selected by default. Submissions can be imported from any journal that uses ScholarOne, regardless of whether the journal also uses Author Portal.
To select the source journal that previously rejected the submission, do one of the following:
1. To find a source journal uses Author Portal, select the journal title from the Supporter Journal dropdown.
  You can also search for a journal by entering its title in this field.
2. To find a journal that does not use Author Portal, enter the journal's ScholarOne site code in the Supporter Journal (site code) field.
  The journal's site code is the ScholarOne journal abbreviation or text string that appears in, or after, the journal’s URL. For example, if the journal has the URL, https://mc.manuscriptcentral.com/egp-lvh, the site code is egp-lvh. For example, for the journal IEEE Access, which has the URL https://mc.manuscriptcentral.com/ieee-access, the site code is ieee-access.
  The Supporter Platform is set to ScholarOne Manuscripts by default.
Enter the ScholarOne manuscript ID of the rejected submission in the Supporter Manuscript ID field.
From the Destination Journal dropdown, select the destination journal to which the author has requested that their submission be transferred.

Note: All journals configured in the Author Portal Admin Tool are currently available in the dropdown menu.
Transfer Admins should use care in selecting the correct destination journal. For example, in the dropdown you will encounter some TEST journals, or journals that are not yet live and which point to a non-production ScholarOne environment. In a future release, the dropdown menu list will be limited to journals that are configured to participate in Author Portal Transfer as eligible destinations.
Click Start Transfer.
